Brief To develop and supply a spreadsheet which allows traders to estimate the profit on a proposed contract before quoting. To allow the estimate and any resulting contract to be automatically added to the company’s transaction processing system.
Description We developed an Excel file into which users enter details of customer, supplier, currencies, dates, products, quantities, units, charges and commissions. Various lookups query the company’s transaction processing system, and after providing the estimate any resulting contract can be saved.

Details We developed a system whereby a trader can open a blank estimate sheet and then enter details, guided by a wizard-like screen. The trader enters customer and supplier, currencies and exchange rates for the proposed buy and sell contracts, product descriptions, units of measure and packing details. A spreadsheet is generated containing the necessary formulae based on the options taken so far. The trader then enters details of the product ‘counts’, i.e. how many of each size and at what buy and sell prices. Costs (surcharges, discounts, commissions, duty, freight) are added to the sheet automatically, and the sheet then shows an expected profit for the proposed contract. The estimate is saved to the company’s transaction processing system, and if a contract has already been agreed, a contract number is assigned and this contract (with initial details or not) is added. Estimates can be retrieved from the database to Excel, copied, replicated numerous times and used as the base for multiple contracts.
